Popular services like Google Drive, Dropbox, and Microsoft OneDrive fall into this category. Cloud storage offers businesses flexibility, allowing employees to access files remotely without the need for extra hardware. Moreover, most services offer scalable plans that can expand with your storage needs.

However, a major drawback is that cloud storage requires users to manually upload files, which means data stored here is not automatically backed up. Many mistakenly believe that storing files in the cloud ensures they’re protected, but that’s not the case. To ensure full protection, it’s essential to back up your data, including anything stored in the cloud. A widely recommended strategy is the 3-2-1 backup rule:

  • Three copies: Keep at least three copies of your data.
  • Two types of storage: Store copies on two different storage media, like a local device and cloud.
  • One off-site backup: Maintain at least one copy off-site to safeguard against disasters.
